  • Process (Filing Away) Documents

    What makes a document easy to find? Adding description to a document certainly helps the search and retrieval process.

    1Document Viewer
    The document to be described will sit on the left side of the screen. The window height is set so that you would not have to scroll up and down looking for the information that will make you loose focus of the metadata portlet.
    2Add Metadata
    You can add specific metadata to each document. This helps identify each document much more clearly and helps you recover the files quickly later when needed.
  • Search and Retrieval

    With the traditional filing cabinets, you would have to keep a certain structure. With FileitSuite, you can forget about the traditional structures and come up with your own feasible filing mechanism.

    1Document Groups
    You can narrow down your document options by only searching in certain document groups. What's more interesting here is those document groups are something that you can specify in the administration section to create your own unique filing structure.
    2Process Document
    Each document that was scanned into the system will be added into the pending process list. The file processor will go through these files, add metadata and file them.
  • Create Document Groups

    This allows you to define groups for which you want to file documents. Folders will be created on FileitSuite for that document group

    1How It Works?
    If your business has a purchasing department, you can create a document group called Purchasing, which in turn creates storage space on FileitSuite for that group. All documents for that group will be stored on FileitSuite in the following folders:
    /pending/purchasing/
    /documents/purchasing/
    2Cross Links
    This field details the parameters from other document groups that are linked to this document group. This feature is useful in cases where the user would like to view all the documents related to a particular invoice number. There may be related documents for this invoice number with the purchasing, shipping, and payables document groups.
  • E-Mail and FTP Setup

    Retrieving documents from an e-mail box

    1Document Retrieval
    FileitSuite has the ability to retrieve documents from an e‐mail mailbox and upload them into the system. Each document group can specify a mailbox to retrieve documents from. The e‐mail information here is used to tell FileitSuite what server the e‐mail mailboxes reside on. Note that this only works with .PDF documents.
